Website Changes and Updates – Launching November 2, 2022

We updated several aspects of www.bailvision.com to make it more user friendly and easily accessible. We restructured the alerts dashboard, menu, and made several other changes to make it easier to find the information you’re looking for. All significant changes are listed in detail below.

Menu Changes

We updated the menu to make it easier to find the information you’re looking for. For example, the first page you see when you log in is important alerts rather than the list of active bonds. Other significant changes are listed below:

  • Bonds moved from being the main dashboard when you log in to a dashboard under the menu Bond Management.
  • Address Book moved from being a tab in a dashboard to a page of its own. It can be found under Bond Management menu. All users have access to it.

  • Document Envelopes moved from being a tab in a dashboard to a page of its own. It can be found under Bond Management menu as Document Packages. Anyone with Bond Management access level or up can have access to it.

  • Power Management moved from being a tab in a dashboard to a page of its own. It can be found under Bond Management menu. Anyone with Power Management access level or up can have access to it. However, all users will have access to Issuances within Power Management for any power issuance from agency to an individual user.dash-power-mngment
  • Notifications moved from being a tab in a dashboard to a page of its own. It can be found under Bond Management menu. Anyone with Bond Management access level or up can have access to it.

  • Manage Notification Tracks moved from the Settings menu to being a link in the Notifications Dashboard, labeled Notification Tracks.  Anyone with Bond Management access level or up can have access to it.

  • Activity Report moved from Reports and Forms menu to our new menu Finance. Users with special access Finance, will only have access to Activity Report.
  • Collections moved from the general dashboard menu to our new menu Finance. Anyone with Bond Management access level or up can have access to it. Special access to Finance is not needed for Collections.

  • Manage Deposits moved from Reports and Forms menu to our new menu Finance. Users with special access Finance, will only have access to Manage Deposits.

  • Manage Users renamed to Manage Office Staff, moved from the Settings menu to our new menu Office Administration. Only users with Agency Admin access have access to Manage Office Staff.

  • Agency Reports renamed to Office Admin Reports, moved from Reports and Forms menu to our new menu Office Administration.  Anyone with Bond Management access level or up can have access to it.

  • Company Settings renamed to Office Settings, moved from the Settings menu to our new menu Office Administration. Only users with Agency Admin access have access to Office Settings.

  • Company Notification Settings renamed to Communication Settings, moved from Settings menu to our new menu Surety Management. Anyone with Bond Management access level or up can have access to it.

  • eForfeiture Management renamed now as Forfeiture Manager, moved from its own menu to Surety Management menu. Anyone with Bond Management access level or up can have access to it.

  • eFiling Cabinet renamed to Search/Create Reports, moved from its own menu to Surety Management menu. All users have access to search reports, and only users with Bond Management access level or up can create reports.

  • eReport renamed to Create New Report, moved from its own menu to a link within Search/Create Reports under Surety Management.  Access rights remain the same. Anyone with Bond Management access level or up can have access to create a report, but special access is needed to submit reports to AIA.

  • Surety Reports moved from Reports and Forms menu to links within Power Management dashboard. Any user with Power Management access level or up have access to them.

New Alerts Dashboard

When you log in the first page you will see is alerts relevant to you. They were previously spread across several pages, but now shown in one place as soon as you log in.

  • ATTENTION! Your email address has not been verified – Click to send yourself an email with a link to verify we have the correct email for your user account.
  • Credit Card Holds Authorized Not Collected – Credit card holds not collected. Credit card payments on hold, card payment is Authorized not Captured. Payment received inside the bond record must be Captured to release hold.
  • Error recharging credit balance – We were unable to replenish your credit balance using the settings on file. Auto recharge for credits has failed or is no longer active and credit balance has gone negative. Link takes you to Credits, Configure Auto Recharge.
  • Expired Power Inventory – Powers expired and not reported to AIA. Add the powers to a report and submit to AIA to obtain new power inventory. Alert links to Power Management for easy reporting.
  • Forfeitures Expiring – Forfeitures due to expire in the next 15 days. Link takes you to Forfeiture Manager.
  • Forfeitures Without Agency Update – Forfeitures missing an agency status update. Link takes you to Forfeiture Manager to provide latest status update to your loss control manager for each active forfeiture.
  • Phone Numbers Blacklisted – Phone numbers with active notifications that were blacklisted. The contact replied “Stop” to a notification and we can no longer send them a text message. Alert links to Address Book Contacts for complete list of all active blacklisted phone number. To resolve blacklisted contacts must send a “Start” text to notification phone number.
  • Payment Plans Pending To Be Activated – Bonds have payment plans pending to be accepted. The plans need a signed agreement either uploaded or date signed entered to make payment plan active. Link takes you to Collections to activate payment plans.
  • Payment Plans With Declined Credit Card Payment – Bonds that have declined credit card payment plans not resolved. The payment plan is setup with a credit card to automatically deduct the scheduled payment and one or more credit card payment is declined. Link takes you to Collections for complete list to update credit card and resubmit payment.
  • Recent Watch Hits – Watch hits received in the past 3 days. Click to open Defendant Watches for a list of recent watch hits with details.
  • Reports Not Submitted To AIA – Incomplete reports started over two weeks ago. Power reports created over two weeks ago and unsubmitted, remain in incomplete status. Review incomplete reports to submit to AIA in a timely manner. Link takes you to Search/Create eReports.
  • Reports Not Received – Reports submitted over (2) two weeks ago and not received. Powers on additional reports will not be replaced until reports are received. Report receipt along with the power stubs must be sent to AIA to prevent any delay in future power replacements. ink takes you to Search/Create eReports.
  • Missed Payments – Payment plans are behind schedule. Bonds with a payment plan that was not paid by the due date. Click to open Collections and view the bonds with payment plans behind schedule.
  • Unreported Power Inventory – Powers executed over 2 months ago and not reported to AIA. Add the powers to a report with status executed and submit to AIA. Alert links to Power Management for complete list of all powers.
  • Congratulations! AIA has provided you with credits. Click here to activate – Click to activate and add BailVision Credits to your account to be used to run a defendant arrest history, or put a defendant on a watch for 30 days, or send an eSignature package.
User Groups and Access Levels Updates

Add Staff to Agency – Ability to send via email to staff an invite to create their desired username and password. On create a new user, the system will now send registration to user via email with a link for them to create their username and password.  We no longer allow anyone besides the user to set or change a password for security reasons.

User Groups Basic Access is now Read Only.

Special Access Finance – Gives access to Manage Deposits and Activity Reports, this can be given to individual user in combination with the any user groups.

Other Process Additions and Changes
  • New Quick Filter to Bonds Dashboard, Recent Check-ins with Appearance – filters all recent mobile check-ins where the defendant has provided their next appearance date. You can click the contact name then click view check-ins to see the information they provided on their last check-in.
  • New fields were added to contact records, Physical Description and Other Mailing Address.
  • New Quick Filters added to Collections, Bond Status. – it filters the collections by the status of the bond, active, inactive or forfeiture.
  • Edit leads button was added to Lead Sources tab of Activity Report. It will open Lead Sources tab of Office Settings for those who have access. This was added for easy access to manage lead sources.
  • Edit Watch Notifications button was added from Defendant Watches to Communication Settings for those who have access for easy access to update BailVision Notification Settings for BailVision Defendant Watch.
